Bandcalendar: Our Revolution in Running the Band

Playing is our passion, but anyone in a band knows this: behind one hour of live music there are hours of quotes, endless WhatsApp messages, Excel sheets that go missing and emails forgotten in inbox limbo. For years we ran the band “the old-fashioned way”, chasing clients and trying to keep track of dates and payments across three or four different apps. Then, a month ago, came the turning point: we started using Bandcalendar.
Order out of chaos!

Today we want to tell you how this all-Italian management software has literally transformed the way we work, making life easier from the first contact with a client right through to after the event. What struck us most is how it let us say goodbye to the messy chaos of multiple tools that don’t talk to each other. We no longer have to jump from Google Docs to Excel, hoping we haven’t lost track of the latest version of a file, because every single piece of information has its exact place, complete with history and statistics always at hand, whether we’re at the computer in the studio or checking our phone on the go through the very handy progressive web app (PWA).
Choosing in style

One of the features that has radically changed our relationship with the people who hire us is repertoire management. Instead of sending heavy PDF files or links to messy folders, we send the client a dedicated landing page where they can scroll through our songs and select their favorites. It’s an incredible professional touch that clients love, and for us it means receiving their choices directly in the system, with no room for error.
Signing made easy and professional

But the simplification doesn’t stop there. When it’s time to close the deal, Bandcalendar turns what used to be a bureaucratic nightmare into a procedure that takes a few seconds. We can create quotes and contracts from ready-made templates, customizing both the content and the design with our logo and colors. Once they’re ready, we send them to the client, who can add a digital signature with a simple click, without having to print, scan or install complicated apps. It’s a convenience that conveys immediate confidence and speeds up the closing of contracts surprisingly well.
Truly complete event management

The beating heart of it all, though, is complete event management, which Bandcalendar turns into a kind of all-in-one control room. Every date has its own page that brings together the logistics, documents, payments and even the management of collaborators. On this last point the time saved is enormous: the system lets you manage multiple line-ups and projects at the same time, so if we have several dates on the same day or different line-ups (from duo to sextet in our case, but Bandcalendar can handle orchestras perfectly well too), everything stays tidy and separate. We can track the payments received from clients and, at the same time, manage the fees owed to the musicians and technicians who work with us, always keeping an eye on the band’s real balance thanks to the built-in statistics.
Simple and modern

Despite offering such powerful tools, the amazing thing is how easy to use the app remains (you can tell right away it was designed by musicians) and how affordable it is. People often think software like this is complex or meant only for large agencies, but Bandcalendar proves the opposite, with a truly modest price that pays for itself after the very first event handled without stress. If you want to stop chasing paperwork and get back to focusing on the music, our advice is to try their free tier, which is already fully usable (and might even be enough for a band with occasional gigs, or a non-professional one). For us the basic plan was the best investment of the year (the price is 30% lower if you pay for a year’s subscription instead of paying month by month) and, honestly, we don’t know how we managed without it for so long.
